Commercial Policy

Thank you for choosing (re)FRESH Eco cleaning Inc! We value and appreciate your business. For both the protection of our clients and our company, please read the following Policies and Terms

Rate:
Cleaning supplies and equipment are supplied by (re)FRESH Eco Cleaning Inc.  Our hourly rate is $40 including tax with a minimum service fee of $80 per visit. Garbage/recycling removal costs $4 per bag/box (cardboard and recycling included) plus a $7.00 disposal fee per visit. All cardboard must be flattened and we will not remove leaky bags of garbage. 

All recycling must be presorted into the following categories or we will not haul it away:

  1. Paper, flattened cardboard (no coffee cups!)
  2. Plastics (to go containers, packaging, coffee cups, any waxy paper)
  3. Refundables (cans/bottles)
  4. Glass
  5. Soft plastics (any stretchy plastic)
  6. Metal cans (soups etc)
  7. Shredding: must be put in paper bags or will not be removed

Our normal working hours for commercial clients are Monday – Sunday from 9:00am -10:00pm.

Your roll in the process

Prior to the cleaning technician’s arrival, please remove all items that may delay our cleaning service (i.e.:  loose papers from desks etc.). This will maximize efficiency and minimize the time we spend to clean your business. If you prefer that our cleaning technicians remove these items, we will add the additional billing time and charge you accordingly on the following months invoice.

Payment for Services

Refresh Eco Cleaning Inc operates on an advanced monthly billing cycle to ensure our employee payroll is secure.  Refresh Eco cleaning Inc will always bill in advance for the month ahead. Payment for cleaning services is due in full upon receipt of your invoice. Any credits or funds owing will be deducted/added to next month’s billing cycle. Payments outstanding will result in a 2% per day late fee per service. We understand that some people prefer not to pay in advance. If you would prefer to submit payment at the time of service please let us know. We appreciate your prompt payment so that our payroll and expenses are secure. We accept payment in the following forms:

  • Cash
  • Cheque: Please make checks payable to Refresh Eco Cleaning Inc.
    *Bounced cheques will result in a $50 reprocessing fee
  • Direct deposit (banking information available upon request)
  • Interac etransfer sent to refreshcleaningco@gmail.com  it is company policy to put the invoice number you are paying for in the “message box” which is displayed at the end of the transaction.

Cancellations

If you need to cancel or reschedule your cleaning service, please provide at least 48 hours notice for all cancelled appointments or you will be billed 50% of your booked time slot. “No shows” will be billed for the full amount of the scheduled time. Once we take a reservation, we hold that time slot open for you and may turn away other potential customers in order to ensure your timeframe.

Refunds

Since cleaning is a very personalized and subjective service, we cannot offer refunds to customers. However, we want you to be 100% satisfied, which is why we offer a 24 hour guarantee. If you are dissatisfied with your cleaning service for any reason, please contact us within 24 hours of your cleaning and we will return and tend to the area/areas you are dissatisfied with at no additional cost to you.

Referrals

Clients will receive a 20% discount to one cleaning service for referring each new customer to (re)Fresh. This discount becomes effective after the referred customer’s first cleaning.

Safety 

All cleaning technicians are prohibited from using ladders (a 3 step ladder is acceptable), and are instructed to wear clean inside shoes while working.

Refresh Eco Cleaning Inc Staff are prohibited from using chemical synthetic cleaners. Please do not ask our staff to use such items. You may provide us with a natural eco friendly cleaner of your choice.

Alcohol offerings are strictly prohibited, please do NOT offer your cleaner any alcoholic beverages during or after their shift. Everyone has a different tolerance level and we want our staff to drive safely to their next destination. A sealed bottle of wine etc as a gift is acceptable.

In winter conditions, we may need to cancel or reschedule your service if roads are unsafe to commute, we thank you for your patience and understanding.

Pandemics: Due to the highly physical nature of this work, some staff may not be able to wear masks. We ask that if clients have any issues with this, to please vacate the premises for the duration of the clean, or keep distance by confining to a certain room or area while we are working.

Refresh Eco Cleaning staff will not be responsible to move sofas, ovens, refrigerators, beds etc. If you have an item that the vacuum does not fit under it is up to the client to move these items if you want us to clean under them on cleaning days. We will do our best to sweep under these items with your broom if and when possible.

Clients must notify Refresh Eco Cleaning Inc management if there will be workers or contractors on site on scheduled cleaning days to ensure our staff are not encountering an intruder.

Dignity

There will be NO tolerance for sexual, rude, or belittling behavior toward any of our staff. Such behavior will result in immediate termination of your contract and, when warranted, a complaint will be filed with the police.  If an employee displays any such behavior please notify me immediately.

Broken Items

If you have any irreplaceable, collectable or expensive objects, we ask that these items be secured or put away in order to avoid unfortunate accidents.  It is the clients’ responsibility to place furniture pads under ALL furniture as to avoid damage to flooring. (re)FRESH Eco Cleaning Inc will not be held responsible for any scratching or damage to floors at any time. Please let us know which items do not have protective padding as to avoid damage.

Lost/Misplaced Items

(re)FRESH Eco Cleaning Inc employees have been instructed not to throw away or move any items from their original location. Loose papers will be placed in a pile, coins/money (from sofas etc.) placed in a noticeable location and all furnishings are put back exactly as they were originally placed. If you are unable to find something please notify us immediately and we will do our very best to help you locate the misplaced item. 

All of (re)FRESH Eco Cleaning staff have had a mandatory criminal record check, as well as a work and character reference check.  Should you have any speculations/proof of theft, please notify the owner Amanda Roth at (250)509-0215 immediately.  This will result in an investigation, immediate police contact (if warranted) as well as the speedy dismissal of the employee.

Privacy and Confidentiality

We understand that many of our clients hold sensitive information in their offices/place of business. While our cleaning technicians are busy at work, there may be times where we come across private information.  Such information is 100% confidential and will not be shared with any other 3rd party. All employees of Refresh Eco Cleaning have signed a contract which includes this confidentiality agreement.

Extra Services

If you require extra services or additional cleaning on your scheduled cleaning day, please try to contact us at least 48 hours in advance and we will do our very best to accommodate the extra time needed.  We can give you a quote for the additional services upon request.

Pets

 All of our cleaning technicians are pre-screened to ensure there are no allergies or dislikes.  We are able to work with little or no disturbance to your furry friends’ daily life. (re)FRESH Eco cleaning technicians are not responsible for cleaning any animal urine, feces or any other excrement.  Should we come upon any, we will inform you.  Mouse droppings or mold will not be cleaned as we are not trained to safely dispose of it.

Breach of Covenant

Clients of (re)FRESH Eco Cleaning Inc will not solicit, employ or accept solicitation of employment by any employee or contractor of Refresh Eco Cleaning Inc for a period of 12 months following termination of this agreement, without written approval by Refresh Eco Cleaning Inc.

Terms of Service

Clients of Refresh Eco Cleaning must provide 30 days written notice before termination of service. Failure to prove 30 days notice will result in full charge of the scheduled bookings 30 days following the termination date.

By using our services, all clients of reFresh Eco Cleaning Inc agree to our company policies
